The Edmonton Sport & Social Club
is an adult league so all players MUST be at least 18 years old.
REGISTRATION
TYPES:
Team: you build your own roster and decide how
many players to have on your team.
Small Group: you have between 5 and 8 people (not
a full team). Register and play together (at a reduced rate) and
we’ll fill out the roster.
Individual/Friends: 1-4 people can register together
and we'll fill out the roster.
PAYMENTS:
All Teams, Small Groups and Individuals/Friends MUST
PAY ONLINE in order to register. If you cannot pay online,
registrations must be submitted and paid IN PERSON at the Edmonton
Sport & Social Club office, located at Suite 200 9738-51 Ave..
Office hours are:
Monday - Thursday: 9:00am - 5:00pm
Friday: 8:30am - 4:30pm
Saturday, Sunday and Holidays: CLOSED
Cancellations: In order to receive a full refund, cancellations must be submitted 2 business days prior to the registration deadline applicable to that season. After this time, no player or team will be eligible for a full or partial refund or credit.
Sub Registration Policy: Sub registration opens, for each season, the day after regular registration closes and will remain open for the duration of that season.
Subs can register and play for FREE but there is no guarantee they will be contacted to play. By registering as a sub, you are agreeing to have your contact information given out to any team/player who contacts the SSC in need of a sub(s).
As a sub, you are required to complete an online waiver prior to playing and must be familiar with the rules applicable to your sport. Subs are expected to abide by the same SSC rules and policies as all other participants and risk the same consequences if they fail to do so. Subs are expected not to play above the level of the person they are replacing or the general playing level of that division.

3. SINGLES
AND SMALL GROUPS |
Registered as a single or small group?
Please see below for all of the information that you will need.
INDIVIDUAL, FRIEND, SMALL GROUP PLAYER INFORMATION
How will I get put on a team? The first, and most
likely, is that the ESSC will place you on a team with other individuals,
friends or small group registrants for the same sport/night/division.
If there are not enough of those types of registrations in your
first option league, we will contact you regarding moving to a different
league/day/division. If we are unable to do this, you will receive
a full refund.
When do I find out if I am on a team? The ESSC
will start putting teams together as the registrations come in.
When or if, your singles team is finalized, you will be emailed
a roster that will have the contact information for your teammates.
This will likely occur two days before your first scheduled game.
What happens if you are unable to place me on team?
You will be issued a full refund.
What happens at the first game?
The schedules will be posted to the website ~2 days prior
to your first game. If it is not stored at the facility, the ESSC
will provide basic playing equipment to either the EC, GC or to
one person on each team (depending on the sport). If you are the
player with equipment, you will need to bring it to each game. Otherwise,
you need only to bring yourself and be dressed appropriately. Some
sports require each player to bring a light and dark colored shirt
to each game, the rules for your sport will let you know if that
is applicable for you. Since it will be difficult to tell who your
teammates are, you will just need to ask any players as they arrive
if they are on your team according to the team name found on the
roster you will have received 2 days prior.
Rosters:
1. The ESSC will form team rosters at the office based on the number
and sex (F/M) of the registrants. For most sports, the ESSC's best-case
scenario is that each team will have two full lines + potentially
1-2 additional players. The only exception is volleyball where the
ESSC forms teams as follows: 4's teams will have 4-6 players. 6's
teams will have 6-9 players. The reason for the extra players in
all leagues is to prevent defaults. Singles' teams make up ~85%
of defaults each season. If you feel your team does not have enough
players on the roster please let us know and we will attempt to
bolster your roster.
2. SMALL GROUP REGISTRANTS: The ESSC determines the final number
of players on each roster. The ESSC is unable, in most cases, to
accommodate specific requests. If you want to control the number
of players added to your group, you will want to do your own recruiting
and register a full team.
3. CAPTAINS: When you meet with your team, please choose one player
to be the captain. Captains of soccer and slo-pitch teams should
report scores to the ESSC website by noon the next day. Other captains
should report scores to the Event Coordinator (EC) or Games Coordinator
(GC) at the field/gym. The only other responsibility of the captain
is to help organize subs if players are going to miss a game, subs
can be arranged by email at: info@edmontonsportsclub.com.

Skill Levels:
You will register based on your perceived skill level. If you have not played in our leagues before, please be conservative regarding your own skill. It is better to be a more skilled player in a less skilled league than to be in over your head in a league where you are not skilled enough to compete.
Singles' teams will often see a wide skill level range within them.
The important thing is to remember why you are there, TO HAVE FUN!!

4. TEAM
CAPTAIN RESPONSIBILITIES |
Prior to
the start of the season, TEAM CAPTAIN's must review the TEAM CAPTAIN
RESPONSIBILITIES list. As a team captain you have certain responsibilities
on a weekly basis, please see below for more information.
Reporting Scores
For BEACH and DOUBLE OPPONENT INDOOR VOLLEYBALL, FLAG FOOTBALL and ULTIMATE Team Captains: You do not
have to report the scores directly to the ESSC, this is the duty
of the EC (Event Coordinator); however, please make sure you record your scores and
sportsmanship rating (when applicable) on the score sheet provided so that the EC has proper record of your game results.
For FLOOR HOCKEY, BASKETBALL, DODGEBALL (Beach and Indoor), INDOOR and TURF SOCCER Team Captains: You do not have to report the scores directly to the ESSC, this is the duty of the GC (Games Coordinator); however, please make sure that the score is accurate and that you report your sportsmanship rating to the GC.
For OUTDOOR SOCCER, SLO-PITCH, KICKBALL and SINGLE OPPONENT INDOOR VOLLEYBALL Team Captains: It is the captain’s responsibility (or designated Captain on 'Singles Teams') to report the scores ONLINE by 3pm the day after your game. In order to have the standings posted within 72 hours we need to receive your scores in a timely manner. If you do not report your score, the sportsmanship rating for your team will be automatically changed to “0” and the rating for your opponent will be put as “+1”.
How to report scores:
1. Confirm
the score with the other captain after the game. You MUST do this
so that we receive the same score from each team.

5. Once you enter this it will
take you to the page where you enter the scores. PLEASE make sure
that you input all of the correct information (date of game (not
the date you are entering the scores), opponent, score etc.)
6. Hit Submit
Permits
The ESSC has permits for all of the facilities that we use (with
the exception to private gymnasiums). Generally we are able
to access the gym 15 minutes before our permit time. However,
if there is another user group in the gym when you arrive, please
do not enter the gym or interrupt their play. The EC or GC
for your sport will have the permit for usage and will take care
of getting into the gym. If you are playing a sport which does not have an EC or GC (Slo-pitch, Outdoor Soccer, Kickball, Single Opponent Volleyball), the captain of your team is responsible for printing the permit off the website and taking it to each game. Permits are linked on the schedule index page of each sport.
If you run into a situation where there is another group on
the field or in the gym during our permit time, make sure that you
or the GC/EC has the permit, show this permit to the other user
group. For outdoor sports fields: there will never be 2 teams scheduled
for the same time at the same field; if you have a permit number,
the other team can not also have the same one. We
have booked and paid for every field that we send you to, so you
must not back down when confronted by another group.

- When registering a full team, although the
registration form limits your team to 11, there is no maximum
limit to the number of players that you can have on the roster.
After registering a full team, captains are not required to inform
the ESSC of additional players.
- Please see the rules section for the sport that you are registering
for to view specific roster requirements.
- A sub-list can be requested from the office.
If you recruit a sub, it is your responsibility to ensure that
they are ready to play (know the rules, will play at the proper
level and have submitted a waiver).
- A team may bring in subs that are not listed
on the roster. They must fill out a waiver prior to playing.
- In the spirit of sportsmanship, captains
are expected to replace players with a person of a similar skill
level. Bringing in “ringers” for regular season and
particularly playoff games is discouraged.
- If you are playing in a league where there
are other SSC teams playing before you, your team may borrow players
under this condition: to increase your team to a minimum full
line-up. The SSC considers it to be an unfair advantage if a team
borrows players to bolster their line-up.
- Teams may bring in subs for playoff games
but these players must have played at least one game during the
regular season with the team.
- Individual team rosters will be e-mailed
out 48 hours prior to game one.
For Playoffs:
- To help
avoid defaults in the last game of the season,
teams, excluding the top 4, are welcome to bring in subs who have
not played at least one regular season game with the team. However,
these subs must still be of the same skill level. The top 4 teams
can only have subs who also played at least one game in regular
season.

All teams, registered with the SSC, pay to play. When a team defaults, their opponent’s, who have shown up ready to play, also miss that game. These teams must be compensated for the loss of that game. The SSC does not profit from the collection of default fees.
The default policy is in place to deter teams from not showing up to their games – it is unfair and unsportsmanlike to the other team.
At game time, any teams not meeting the minimum player requirements will default the game. Only the SSC office can CANCEL games. Teams contacting the office before their game regarding not showing up are still considered to have DEFAULTED their game.
Each time a team defaults, they are subject to the $50 default fee.
Following a first time default, the team will be permitted to play in their next scheduled league game. However, if the default fee has not been paid within 7days of the default occurring, the SSC will alter the score of the following game to reflect a default loss for that team; including “zero” for sportsmanship. The accurate results of this game will still be reflected for the opponents. For example, if the opponents lose this game, two losses will be reflected in the standings.* This process will apply each week until the default fee is paid. Following two consecutive weeks of having an unpaid default, the SSC reserves the right to remove the team from the schedule. If a team defaults on a second night, their status in the league will be under review.
*Please note that scores WILL NOT be reverted to the original once the fee has been paid.
Teams that are defaulted against will be refunded the entire $50
default fee. The refund will be processed onto the card used to
register the team. The exception being sports where you play two
matches or games per night, in which case, each team defaulted against will
be refunded $25. These sports include: Beach/Indoor Volleyball, Badminton and Ultimate.
If both captains AGREE to waive the minimum player requirements,
they may do so but it must be decided BEFORE the game starts. IF
IT IS AGREED THAT THE GAMES WILL COUNT, THEN THE RESULTS WILL COUNT!
In this case, the default fee would also be waived.
If you are having troubles fielding a team, please contact the SSC
for a list of subs; we will do our best to help you out!
For Playoffs:
To help avoid
defaults in the last game of the season, teams,
excluding the top 4 (teams ranking 1-4 in the standings after regular
season games), are welcome to bring in subs who have not played
at least one regular season game with the team. However, these subs
must still be of the same skill level. The top 4 teams can only
have subs who also played at least one game in regular season.

All team captains, designated group leaders, or singles MUST
attend the Players meeting when required to do so. The reason for this is to make sure that
all players are informed about ESSC Rules, benefits of the club,
and to clarify any questions and concerns that players may have.
Sports in which we host a players meeting vary season to season,
you will be informed at the time of registering whether or not a
players meeting is being held for your sport during that season.
We do not hold Badminton or Volleyball players meetings.
Any team that does not attend the Players Meeting will automatically recieve -3 for sportsmanship rating for their first game (unless the other team rates them a '-1').

All players must know the rules before playing - NO EXCEPTIONS!
If you are a new team or new player to the league this is VERY important
as our rules are different from other leagues. The ESSC is
a self officiated league; you are responsible for calling your own
infractions.

The ESSC expects all players who choose
to play with us to exhibit 'ESSC Spirit'. 'Spirit of the Game' means
coming out each week with a 'fun first, winning second' attitude.
The ESSC believes that encouraging good sporting behaviour is why
players join and remain in our leagues. There is no tolerance for
players who do not respect the ESSC sportsmanship policy. [click

Overview: Living in Alberta means that
we will have some unpleasant evenings and there will be some nights
when we have to play sports even though we might prefer not to.
Dress warmly and get out there and have some fun!
The ESSC will not cancel games unless the City of Edmonton closes
the fields. If fields are closed, games are cancelled. If fields
are open, all games are subject to the rain
or shine policy.
* Note: the ESSC is not open on
weekends so all Sunday games are subject to the rain or shine policy
unless the City of Edmonton has closed it's fields! To check out

In all sports, the ESSC reserves the
right to move teams to a division better suited to their level of
play, regardless of whether the team has registered early. Some
sports may begin the season with a few weeks of seeding to help
place teams into the proper division for their skill level.

days prior to your first game. If a schedule is not posted you may assume it is not yet complete.
Please do not contact the ESSC regarding your schedule until after
it has been posted.

within 72 hours of completion of your game.

Games Coordinators: GC’s are ESSC employees. Their main role is to set-up the facility so it is ready for game time, keep the score and time, and report the results to the ESSC. They are also there to encourage sportsmanlike play and to help keep the games running smoothly. Players must understand the role of GC's and also know what is expected of every player in the league. The following is a list of roles that the GC will perform during your game:
Pre-Game Intros - the GC will call in both captains for introductions, confirm which colour each team is wearing, define any particular court/gym rules, and provide league updates and other special notes.
Managing the Time - the GC will manage the game time on either a clock or their watch. They will ensure that the game starts at the scheduled start time and manage the time for the remainder of the game.
Keeping Score - the GC will keep track of the score.
Intermission - the GC will act as a 'mediator' for the captains during the intermission, they will also provide feedback to both teams at this time.
Officiate – the GC will call fouls or penalties when needed. The GC is NOT a referee, ESSC leagues are all self-officiated. However the GC will assist in keeping the game under control by calling infractions that are not called by the teams and by providing constructive and positive feedback to the players throughout the game.
The GC will eject players who are a threat to the fun or safety
of their opponents - the GC is obligated by the ESSC to
step in and assign a game misconduct if warranted by a
player's actions. A GC cannot allow a player who is jeopardizing
the safety or fun of other players to continue playing. See
the rules for more details.
In some cases a GC may not be present to monitor the game. In these
cases, the team captains are responsible for keeping time, keeping
score and making sure that their own players are playing within
the guidelines of the ESSC. The captains need to make sure that
the equipment is returned to the correct location and report the
score of the game and the sportsmanship ratings to the ESSC office

Event Coordinators: At every volleyball/badminton
gym and flag football/ultimate field, there will be a ESSC
player called an Event Coordinator (EC). This person is a registered
player in the league. Their main purpose is to bring playing equipment
and a score sheet to the games, update players with pre-game announcements
and report the game scores to the ESSC. Please help them with set-up
and take-down and make sure that you are helping them out by reporting
your game scores to the scoresheet they have provided. For

For Flag Football, Ultimate,
Badminton, Beach and Double Opponent Indoor Volleyball, an Event Coordinator
(EC) will bring the equipment required for each game (balls, field
markers, flags,..etc.) Players are only responsible for bringing
the proper attire (dark and white t-shirt) and footwear.
For Soccer, Slo-Pitch, Kickball and Single Opponent Indoor Volleyball each team must pick up the required
equipment prior to the start of the season. A deposit is required
to pick up the equipment.
For Soccer, each team will pick up a soccer
ball and field markers, the deposit is $30.
For Recreational Slo-Pitch, each team will get 3 bases, a safety base,
a home plate, field markers and 2 balls, the deposit is $50.
For
Recreational
Plus and Intermediate Slo-Pitch, each team will get 3 bases, a safety base, a home plate, field markers, 2 balls and a strike mat the deposit is $100.
For Floor Hockey, Indoor/Turf Soccer, Basketball
and Indoor/Beach Dodgeball games are monitored by Games Coordinators
(GC) that will bring all the required equipment (balls, sticks,
nets etc…).

FACILITY COMPLAINT POLICY
The SSC rents facilities from the City or private establishments. The facility staff or the City may revoke our rental privileges at any time. Any player or team who causes The Club to receive a complaint may face a $100.00 fine and may be suspended or ejected from the league. To help players better understand the levels of facility complaints, we have outlined them below.
Minor Complaint
A minor complaint is one that is issued by any SSC staff, facility staff, neighbourhood resident, opposing team or City employee that will not result in major repercussions to the SSC. A warning letter will be sent to the team indicating that if we receive any future complaints, this would be considered to be a major or severe complaint. The team may also face a $100.00 fine.
Major Complaint
A major complaint is one that is issued by any SSC staff, facility staff, neighbourhood resident, opposing team or City employee that will likely result in major repercussions to the SSC, or if it is a team’s/player’s second offense. The team will be contacted by the SSC, they will likely be fined $100.00 which must be paid before their next game and/or face a suspension.
Severe Complaint
A severe complaint is one that is issued by any SSC staff, facility staff, neighbourhood resident, opposing team or City employee that results in major repercussions to the SSC, or if it is a team’s/player’s third offense. The team will be contacted by the SSC, they will be fined $100.00 and will be ejected from the league without a refund.

GYMS:
About: The gyms are rented from the City of Edmonton, Parks and Recreation
or are Private Facilities. Weekday start times (Monday to Friday)
may range from 6:15 PM to 10:00 PM. Sunday start times will range
from 9:00 AM to 10:00 PM. During the week you can expect most games
to be scheduled for later in the evening due early slots being reserved
for youth activities. Please see more below on ESSC expectations
regarding school and/or private facility use.
Permits: The ESSC has
booked and paid for each facility that is scheduled for a game.
Expect the schools to be LOCKED until 15 minutes prior to the start
of your scheduled game time. If you arrive early and the doors are
locked, please wait outside until the caretaker comes to unlock
the door or until the Games Coordinator (GC) or Event Coordinator
(EC) arrives.
Treat The Facilities Right:
All players MUST respect the facilities, building, property and
the caretakers. Gym use is a privilege that should not be taken
lightly. Please be kind to the caretakers in all circumstances and
please treat the school as you would want someone else to treat
your home. Be patient! If you have any comments about your school,
please address them with the ESSC staff the following day by sending
an email to info@edmontonsportsclub.com.
THE CLUB RENTS FACILITIES WHICH MEANS THE FACILITY STAFF MAY REVOKE
OUR RENTAL PRIVILEDGES AT ANY TIME. Any player or team who causes
The Club to get a complaint may, and likely will be, removed from
the league immediately
If you or your team causes the ESSC to receive a complaint from
a school or the City of Edmonton, you will be fined $100.00.
FIELDS:
Attention Soccer, Slo-Pitch, Kickball and Single Opponent Indoor Volleyball Players:
Please print (from your Schedules page) and bring your permit to each game. In the event another user group is on the field/in the gym, present the permit to resolve any facility conflicts.
About: The fields are
rented from the City of Edmonton, Parks and Recreation and some
private organizations. These organizations determine which fields
we will being using. The ESSC is committed to upgrading our fields
if and when they become available! If you notice any problems at
your field (gravel, sprinkler heads, etc) please notify your EC
and/or contact the ESSC directly at info@edmontonsportsclub.com.
Any potential hazards should be marked with something (shirt/hat/towel)
so players can avoid that area during game time.
Permits: The ESSC has booked and paid
for every field that is scheduled for a game. The permit time each
night is 6 PM to 9 PM. The EC’s (ESSC reps/players) or team
captains will have copies of the permit to prove that the ESSC has
the field rented, so please wait for your EC or team captain if
there are non-ESSC players on a field. The only time you may arrive
at a field that is already in use is if you are playing in a later
game with ESSC teams playing early.
Treat The Facilities Right: As these are rented fields and facilities there are certain rules that the ESSC enforces:
1. Please don’t ‘mark’ your fields: Do not urinate or defecate on trees/bushes or between parked cars. Port-a-potties are not provided by the City for city fields so plan ahead! It’s illegal to pee or defecate on public property.
2. Property Damage: Players are responsible for property damage.
3. Alcohol Issues: Consumption of alcohol is not allowed at the fields; players caught violating this by-law are subject to fines from the City and/or the SSC.
4. Be respectful: To homeowners, police, by-law officers or anyone else who questions your behaviour. Any players and/or teams who are the subject of complaint lodged by someone who has approached them at the play field will be ejected from the ESSC leagues. If you are concerned about being approached, you may politely request a name and contact number so that the ESSC may follow up.
5. Private facilities (rugby clubs, etc): will have their own rules regarding conduct on the fields and in their clubhouses. Please ensure you are following the rules outlined by each facility. Should a private facility lodge a complaint, players cited in the concern will be ejected from the league.
If you or your team causes the ESSC to receive a complaint from a field, home owners living near the field or the City of Edmonton, you will be fined $100.00.
Underage Spectator Policy:
The SSC is an adult-only league; all players must be 18
years of age, or older, before they can participate in any SSC league or event.
As such, our Liability Insurance covers adult participants, spectators and
employees only.
Players are discouraged from bringing underage
spectators to any SSC league or event that is held in a gymnasium. Gyms offer a
confined area where balls and other objects are moving quickly and at times,
unpredictably.
If a parent/supervisor/guardian chooses to bring an
underage person to any SSC venue (particularly an indoor gym), they must be supervised at all times and cannot loiter in hallways, entrances, washrooms etc. of indoor facilities. Supervisors are responsible for ensuring minors do not disrupt the activity or other patrons of the facility.
All liabilities associated with any minor(s) present at a facility will be the sole responsibility of the partent/supervisor/guardian of the minor(s).

ESSC respects and protects the privacy
of our players. ESSC will not sell, trade, or disclose to third
parties any user details derived from the registration for or use
of an ESSC service -- including user names and addresses -- without
the consent of the user (except as required by law or in the case
of imminent physical harm to the user or others).
When ESSC uses agents, contractors or companies to perform services
on its behalf, ESSC will ensure that the company protects your information
consistent with this Policy.
A user may choose not
to receive direct marketing communications from ESSC by contacting
the ESSC office with this request. Upon such notification, ESSC
will remove the user from their distribution list.
